Manager – Business Operations & Planning

Position Summary – This position serves a broad and critical set of functions working primarily on contract processing, planning, and operations across several verticals at NJII. The incumbent will process grant and non-grant requisitions, follow-up on purchase orders and invoices. The incumbent will also support the Sr. Director, Business Planning and Operations, by acting as a resource coordinator, consolidator of the business plans, and a record keeper of performance against milestones.  Reporting to the Sr. Director Business Planning and Operations, the incumbent will be working closely with NJII’s business leaders, finance and contract management functions.

Additionally, the role requires active involvement with a multifunctional team in developing business planning processes and uniform standards for forecasting and long-term planning within NJII. Once the strategic planning systems are in place, the incumbent will be responsible to tracking success metrics in coordination with NJII Finance.

Person Reports To – Sr. Director - Business Planning and Operations

Essential Functions –

  • Process requisitions, follow-up on purchase orders, and process invoices on behalf of business leaders.
  • Track and follow-up on contract and budget reviews with internal and external stakeholders
  • Support multiple verticals and track resource utilization by project manager(s).
  • Track and report on achievement of milestones through the life of the grants and contracts.
  • Ensure compliance with the contracting agency and University regulations.
  • Assist in services related to processing of tasks orders, journal vouchers, direct expense forms, etc.
  • Under the supervision of the Sr. Director, monitor and process renewals of the personnel action forms for NJII staff.
  • Maintain records per the institutional documents retention guidelines.
  • Review submitted expense reports for appropriateness and suggest corrections, if and as needed.
  • Assist Sr. Director, Business Planning and Operations in tracking financial and non-financial performance metrics.
  • Develop detailed forecasting models and input templates with ability to relate qualitative assumptions to quantitative results. Explore and recommend innovative analytical approaches for robust long-term planning.
  • Create monthly, quarterly and annual reports to serve as the basis for objective performance management system.


Additional Functions –

  • Assist the leadership in strategic corporate planning by consolidating multiple forecasts and analyzing corporate performance based on predetermined metrics
  • Support management in identifying risks and areas of inefficiency within the organization
  • As and when requested, conduct ad-hoc analyses in support of business leaders and NJII’s general management
  • Performs other duties as assigned.

Prerequisite Qualifications –

  1. Education/Degree Required

Bachelor’s Degree in economics, business, industrial engineering or other quantitative-heavy field

  1. Years of Experience Required

At least 3 years’ experience in sales operations, forecasting, or business planning functions in consulting business or a commercial organization with field sales operations.

  1. Knowledge/Skills Required
    1. Strong quantitative skills, including past analytical and modelling experience
    2. Excellent critical thinking and project management skills
    3. Highly self-motivated with ability to manage and prioritize multiple projects and initiative
    4. Excellent time management skills including the ability to manage multiple projects at a given time
    5. Strong communication skills, both oral and written, with the ability to convey clear and concise thoughts and ideas
    6. Ability to combine strong quantitative skills with excellent interpersonal skills

  2. Preferred Qualifications –
    1. An MBA degree from accredited college
    2. Experience in project management using professional tools
    3. Experience in working with CRM
    4. Familiarity with grant management
