Project Manager - Level 2

Position Summary –

The Project Manager II works alongside the Project Managers I and Senior Project Managers to perform project management duties that support the initiation, planning, execution and completion of projects. The incumbent will participate in all phases of the project lifecycle and processes for small-to-medium (or limited number of large) sized projects of varying complexity.  The Project Manager II will schedule and conduct project meetings, manage project artifacts, communicate assignments and expectations to project team members and track completion to ensure quality and integrity of deliverables.

Essential Functions –

  1. Project Management
  • Participates in PMO operations and manages small-to-medium (or limited number of large) sized projects of varying complexity.
  • Partners with Executive Sponsor(s) to build a relationship that best manages expectations and supports project execution and implementation
  • Schedules and conducts key project meetings for stakeholders, sponsors, teams, etc.
  • Creates meeting materials (including agendas, presentations, meeting minutes and other project-supporting materials as required for the project team members) and tracks completion to ensure quality and integrity of deliverables
  • Follows PMO methodology and utilizes standardized templates and tools
  • Ensures all projects in “Planning” have a minimum of SOPPADA, Scope, Governance Chart, Stakeholder Register, draft schedule/timeline and prioritized RAID (Risks, Assumptions, Issues and Dependencies) ready for review as needed
  • Contributes to- and assists in- the design of efficient PMO procedures and policies.
  1. Data Integrity, Documentation and Reporting
  • Creates weekly/monthly reports (e.g., Plan of the week, Performance to Plan) for project team meetings in order to manage priorities, highlight risks/issues and share best practices.
  • Creates and maintains project work plans, issues lists, decision lists, risk/issue registers and status reports stored on NJII project file share and linked to the system projects portfolio.
  • Provides managerial reports as needed/requested, ensuring quality and integrity of data before publishing and socializing them.
  • Manages project contracts and ensures that during its lifecycle the project adheres to contractual stipulations and/or makes recommendations where contract may need to be modified based on project changes.
  • Monitors and tracks ancillary project financial data and artifacts including invoices and purchase orders.
  • Responsible for maintaining own portfolio of projects on the PMOs’ file share/s.
  • Responsible for integrating into project management activities the appropriate use of the standard PMO and company assets and tools including (but not limited to) True-North.
  1. Process Improvement and Quality
  • Organizes and prioritizes large volumes of information, requests and calls; recommends ways to create efficient and productive departmental workflows and triage work requests.
  • Serves as the point of contact with the iLab’s customers and must provide excellent and consistent customer service.
  • Constantly seeks ways to improve processes, products and policies.
  • Surveys Executive Sponsor(s) and key project stakeholders at the middle and end of each project to gauge customer satisfaction with project management services
  • Participates in Daily Management Huddles and all NJII/PMO courses offered through Leadership Development programs.
  • Adheres to project management industry best practices, including those adopted by the Project Management Institute (PMI)

Prerequisite Qualifications –

  1. Education/Degree Required

Bachelor’s Degree or higher with a concentration in project management or related field along with knowledge and skills obtained through a combination of education, training, and related work experience.


  1. Years of Experience Required

3+ years project management experience in a business, government and/or academic setting. A basic understanding of project management tools and techniques.

Preferred Qualifications –

  • Previous work in health care industry preferred, demonstrated high-level organizational experience preferred
  • Experience working in a PMO preferred
  • On track for Project Management Professional (PMP) Certification preferred
  • Familiarity with Accelerating Implementation Methodology (AIM) Change Management Methodology preferred
